Big Apple Orange Elections 2012

It's election time for Big Apple Orange. If you are interested in running as an executive officer or board of director for the SU Alumni Club of NYC, please read the below positions for election. All positions require a one-year commitment (with exception to Board of Director positions - see below for details) and start the beginning of our fiscal year (July 1, 2012-June 30, 2013). Board of Directors
Board of Directors are elected on a staggered basis. For the 2012-2013 year, 1 Board of Director (Three-Year Term) positions and 1 Board of Director (One-Year Term) are open:
- Act as an advisory panel to aid, guide and counsel the elected officers with regard to the conduct and management of club affairs
- Attend executive board and club membership meetings, as well as be available for consultation on club matters, and be an active participant in club events
- Serve an active role on club committees, and/or chair any ad hoc committees deemed necessary (aside those tethered to specific elected officers, e.g., an events committee), as appointed by the President
- Adopt and amend rules of operation of the club, as appropriate. Examples include, but are not limited to: recommend additional elected officer positions to exercise specific duties as assigned by the Board, and may elect club members to such positions; authorize a club member (in addition to the Treasurer) to engage in banking transactions on behalf of the club; and with a quorum of 3 or more Directors, request to hold a meeting of the club
President
- Preside at all meetings of the Board of Directors, Executive Officers, and of the membership
- Responsible for the business of the club
- Responsible for submitting an annual report to the Alumni Association and the Syracuse University Office of Alumni Relations that includes an annual financial statement, a list of activities and events held by the club during the year in question, names of registrants at activities and events (where possible), the current paid membership list, and a roster of current officers and directors with their terms of office specified
- Liaise with Syracuse University Office of Alumni Relations, Syracuse University Alumni Association, Lubin House and other Interest Clubs within the Metropolitan NYC
- Connect with executive officers and board of directors, regularly, to ensure support is given to achieve goals of the club
- Oversee projects, events, and initiatives and delegate responsibilities to appropriate persons
- Plan for the upcoming year and communicate intentions to the executive officers and board of directors
- Keep board of directors aprised of initiatives and events
- Create agendas and objectives for all meetings
- Responsible for approval of expenditures, reimbursements, and major decisions (e.g., acquisition of members from other clubs, etc.)
- Serve as the ex oficio Board of Director for the following year, if not re-elected
First Vice President
The role of the First Vice President is to support the President in tasks and events supporting the Syracuse University Alumni Club of NYC.
- Attends all executive committee meetings
- Responsible for managing the quarterly calendar and taking responsibility for managing special projects and events
- Acts as a liaison between other VPs and the President to keep lines of communication open and maintain smooth operations of the executive board
- In the event the President cannot attend a meeting, the First Vice President would take on the duties of the President and report back to the President
Secretary
Primary task is to support the executive board. Responsibilities include, but are not limited to:
- Act as scribe at each executive officer meeting, taking detailed notes
- Send out meeting recaps via email to executive officers and board members
- Maintain club records and documentation (e.g., maintain binder with relevant documentation)
- Should also be available to provide the President and other executive officers with any other assistance needed
Treasurer
The treasurer shall be the Chief Financial Officer and as such shall have custody and management of all funds pertaining to the club. This includes, but is not limited to:
- Deposit funds as directed by President and Board of Directors
- Writing checks for expenses that have been given approval from President
- Accurate record keeping of accounts, coming in and out of the club. This includes, but is not limited to any dues or donations collected
- Anticipate and track any program expenses that the club will incur
- Report financial health of Big Apple Orange to executive officers and board of directors on an ongoing basis
- Manage all club funds in accordance with the Syracuse University Alumni Association guidelines and Internal Revenue Code requirements for Section 501(c)(3) organizations
- Responsible for keeping and preparing records, financial reports, and any other financial information required by the Club's Charter agreement. This includes preparing and submitting any needed records to the Financial Officer of SU Office of Alumni Relations.
- Responsible for "close out" and present fiscal year-end report to Alumni Club President, as well as the financial office of SU Office of Alumni Relations
VP of Marketing
- Create/Distribute all Marketing materials including, but not limited to: event announcements, activity announcements, reminder emails, member communications club-branded materials.
- Identify potential programs and streams of publicity for Big Apple Orange
- Coordinate with VP of Web Administration to create and launch Big Apple Orange's website
- Maintain Facebook, LinkedIn, etc presence
- Provide content to Big Apple Orange's website
- Develop new communication methods and tools for club use
- Coordinate and implement communication-related activities for the club
- Enhance distinctive brand for Big Apple Orange
- Collaborate with VP of Membership to increase club presence within Metropolitan NYC.
VP of Membership
Overview:
- Develop strategies to recruit and retain memberships by developing benefits of services that meet the needs of members
- Develop a plan that addresses recruitment and retention plans for Big Apple Orange members. Plan to include short- and long-range goals to achieve membership objectives
- Manage membership data
- Develop and implement strategies for renewing annual support of current members
- Manage membership services, benefits, and policies
- Identify specific demographics to facilitate event planning, etc.
Objectives:
- Recruit new members (i.e., fulfilled by alumna's complete membership application and payment of dues)
- Set goals for growth (plan a membership building program)
- Encourage guests to join (e.g., spouses, friends, and parents/family of alumni)
- Formally induct members at Lubin House
- Retain active members
- Identify members' needs and preferences
- Establish a membership committee
- Return inactive members
VP of Programming
- Create a balanced schedule with a focus on philanthropic, social, professional, sporting, cultural events
- Plan general events that cater to the community at large and specific events that cater to particular age or interest groups within our community
- Develop event ideas to present at executive officer and board meetings
- Lead the planning and logistics for approved events. Event planning involves, but is not limited to, identifying locations, working out service details with the host location or company, scheduling time/dates, identifying the goal for each event, and handling on-site matters during the event
- Manage team/sub-committee that volunteers to help plan and execute event
- Lead initiatives to develop programs, or recurring events that occur annually or semi-annually, to help build consistency; subsequently, increasing membership and retention within the club
- Work closely with the executive officers to strategically plan for each function (e.g., specific target groups or purpose)
VP of Web Administration
- Maintain and administrate all web-related accounts (e.g., domain, ISP, email accounts, etc.)
- Develop and maintain front-end technology for the website
- Work hand in hand with VP's of Marketing, Membership, and Programming to transition all initiatives online
- Provide expertise to the executive officers and board of directors in the realm of web design, development, user experience, user interface design, and overall web technologies
- Enhance site to provide Search Engine Optimization (SEO) for the site
- Collaborate with designer(s) and developer(s) to provide an avenue for learning and teaching in relation to web technologies
